This policy explains what happens to your information if you register interest in The Room through our sign up form.

Who we are

The Room is co-hosted by Lucy (Ibali) and Kieran (Horizonally), who act as joint data controllers for the information collected through this form. If you have any questions about this policy or how your data is handled, you can reach us at [welcome@theroom.co.uk].

What we collect

When you register interest through our sign up form, we collect:

  • Your name

  • Your email address

  • What you do, if you choose to share it (optional)

We do not collect any other information about you through this form.

How we use it

We use your information to:

  • Keep a record of people who have registered interest in The Room

  • Contact you directly if a seat becomes available

We do not send regular newsletters or updates. You will only hear from us when there is something specific to say.

Our lawful basis

We process your information on the basis of your consent, given when you submit the sign up form. You can withdraw this consent at any time, and we will stop using your information accordingly.

Where it's stored, and who else sees it

Your information is stored securely through Flodesk, our email platform, who process it on our behalf as a data processor. We do not sell, rent or share your information with any other third party.

Flodesk is based in the United States and maintains its own safeguards for handling data from the UK and EU. You can read their own privacy policy for further detail.

How long we keep it

We keep your information for as long as you remain on our list of registered interest, or until you ask us to remove it. If we have not been in touch within 24 months, we will review the list and remove anyone we no longer intend to contact.

Your rights

Under UK data protection law, you have the right to:

  • Ask what information we hold about you

  • Ask us to correct anything inaccurate

  • Ask us to delete your information

  • Withdraw your consent at any time

  • Complain to the Information Commissioner's Office (ICO) if you believe your data has been mishandled
